You share through your own email. Buildhive keeps the overview.

What document sharing in Buildhive means
Document sharing in Buildhive runs through email. Buildhive is connected to your own mailbox: you pick recipients from the partners in the project, and the email leaves from your address and sits in your sent items. Your partners simply get an email from you, with a link to the current version, no account or password needed. Meanwhile everything belongs to the project: one current version, earlier versions by date, and a complete sharing history.
How it works today.
Email attachments where nobody is sure it's still the latest version.
Attachments that are too heavy, and links that expire after a few days.
A server external partners can't access, so it's local copies again.
How it works.
Just an email, from your own mailbox
Your partners don't notice a new system. They get an email from you, as always. Only you get the overview on top.
Sent from your mailbox
Buildhive is connected to your mailbox. Every share leaves from your address and simply sits in your sent items.
Your partner gets an email from you
No account, no app, no new platform. They open the email and click the documents. They don't have to use Buildhive.
Your recipients are already there
Tick who gets the email. No typing addresses, nobody forgotten.
Templates that stay personal
Every email looks equally professional across the whole office. With a real greeting.
No more debate about the latest version
Every document has one current version. Anything outdated sits clearly beside it, not in between.
The current version on top
Whoever opens the project sees right away which documents apply today.
Earlier versions apart, by date
Previous versions are kept and viewable by date, separate from the active set.
One link that keeps up
The same link always points to the latest version, even when you replace the document later.
Everyone can get in, even on site
Whoever receives your email opens the document without friction. And you decide per document who may see it.
They don't have to use Buildhive
Your partner opens the email and sees the document. No sign-up, no password, no support questions.
Even without signal on site
Open project documents offline in the mobile app. No internet doesn't mean no plan.
Public or private, per document
Make plans and studies public for the whole project. Share sensitive documents selectively, for example only with the client.
Your project history holds up, even years later
Everything belongs to the project instead of a mailbox. The history survives holidays, staff changes and handovers.
Complete sharing history
Who got the document, when and in which phase? Useful for disputes, audits or accountability to the client.
Incoming documents too
Received documents also belong to the project, so compiling the as-built file later is quick.
Resend in one click
Someone asks for a document again? You instantly find what you shared and send it again, from your mailbox.
Handover without losing knowledge
Colleague on leave or a new project lead? See at a glance what was shared with whom.
An email from you. No login. Always the right version.
Your partner simply gets an email from your mailbox, with a link that always points to the latest version.
Are my documents safe, and who can see them?
The email leaves from your own mailbox, so partners see your name and address, and you find everything back in your sent items. Per document you choose whether it is public for the whole project or private to one party. Partners need to create nothing and only see what you share with them. Every share is logged. A share link stays valid for six weeks; the document itself stays in the project. Your files are stored on servers in the EU.
